The best B2B email marketing software is the one that fits a sales-led team: enough seats for everyone who touches the list, contact scoring to tell leads from browsers, and a clean link to your CRM. What makes B2B email different

B2B email differs from consumer email less in the sending than in the team around it. The list is smaller, the buying decision is slower and involves several people, and marketing and sales share the same contacts.

That shifts the priorities. Price at huge list sizes matters less; seats, permissions, lead scoring and the CRM connection matter more. A consumer brand may email a very large list every week; a B2B firm is more likely to email a few thousand leads a couple of times a month, with several colleagues who all need to see what each lead has opened.

Seats: who can log in

Seats are the first thing to check, because a B2B team can outgrow a single-user plan in its first month. The pricing pages we read on 22 September 2026 show a wide spread on the entry plans:

For a five-person team at 5,000 contacts, that spread is real money. Benchmark Pro costs $63 a month plus $60 for four extra users on monthly billing; AWeber Plus costs $90 with everyone included; GetResponse Marketer, with five users, costs $95.

Contact scoring and segments

Contact scoring gives each contact a number based on what they do — opening, clicking, visiting pages — so sales can see who is warming up. It is the feature that most separates a B2B platform from a simple campaign sender.

GetResponse's plan comparison lists contact scoring and tagging in its automation tools, with segmentation by scoring, tags, events and consent fields. Brevo lists contact scoring based on engagement, purchases and behaviour, including RFM and lifetime-value models. Neither vendor's pricing page makes the tier obvious at a glance, so confirm it in the plan comparison; on GetResponse, unlimited automation workflows start on Marketer.

Connecting to your CRM

For most B2B teams the CRM is the record of truth, and the email platform should feed it rather than compete with it. Before choosing, confirm that the platform connects to your CRM directly or through a tool such as Zapier, and which way data flows.

Brevo sells its own CRM ("Sales Essentials") alongside its marketing plans, which suits a small team that wants contacts, deals and campaigns under one roof. Benchmark lists an API and a Zapier connection to more than 8,000 apps. If your team already runs a CRM with its own email tools — such as HubSpot or ActiveCampaign — compare those before adding a separate platform; we have not priced them here.

Domains, brands and permissions

B2B firms often send for more than one brand, product line or region, and that needs several sending domains and controlled access. Benchmark Pro allows up to ten domains; Sender's seats are role-based; GetResponse lists roles management and, on Enterprise, single sign-on and a dedicated sending domain.

Brevo's feature list includes single sign-on and multi-account management for several business units. For a larger firm with an IT policy on logins, single sign-on can be the deciding feature — on GetResponse and Sender it sits on the Enterprise plan.

The law makes no exception for B2B

A common misunderstanding is that business email is exempt from US email law. It is not: the FTC's CAN-SPAM guide says "the law makes no exception for business-to-business email", and gives the example of a message to former customers announcing a new product line.

So every B2B marketing email needs honest header information and subject lines, an identified ad, a valid postal address and a working opt-out, with opt-outs honoured within 10 business days. The FTC puts the penalty at up to $53,088 per email in violation. Consent rules outside the US are often stricter still; read your regulator's guidance. Sending setup for a B2B domain

B2B email often goes to company mail servers as well as Gmail, and every receiving system checks authentication. Google's published guidelines require SPF or DKIM from every sender to Gmail accounts, and SPF, DKIM, DMARC and one-click unsubscribe from senders of more than 5,000 messages a day.

If your sales team sends one-to-one email from the same domain, protect it: consider sending marketing email from a subdomain so that a problem with a campaign does not affect everyday correspondence. Our bulk email services guide lists the setup in order.

What B2B email marketing costs

For a B2B list of a few thousand contacts, the entry plans we priced cost between $31.50 and $63 a month at 5,000 contacts on monthly billing — before extra seats and the tier that includes scoring. The comparison of costs at 5k, 25k and 100k contacts shows every plan.

Budget for the plan your team will actually need, which for many B2B teams is the mid tier rather than the entry one — on GetResponse, for example, unlimited workflows and five users start on Marketer. Marketer at 5,000 contacts was $95 a month on monthly billing, or $77.90 a month billed annually.

Questions to ask a vendor before you sign

A short list of questions will expose most mismatches before you have imported a single contact. Ask them during the trial, in writing.

  • How many users are included, and what does each extra one cost?
  • Which plan includes contact scoring, and which events can it score?
  • Does it connect to our CRM directly, and which way does data flow — one-way or both?
  • Can we send from more than one domain or brand on one account?
  • Is single sign-on available, and on which plan?
  • What does the plan cost at the list size we expect in twelve months, on monthly and annual billing?

The answers to the last question are usually on the vendor's pricing page already; the others often need a sales conversation. Write the answers down, and compare two or three vendors on the same list rather than on their marketing pages.
